Management of Personal Information, Confidentiality, Consent and Retention

Marindustrial / DAC takes the protection and confidentiality of the personal information of its employees and partners very seriously. In accordance with the laws in force, the group implemented the necessary technical and administrative measures to ensure the proper treatment of these sensitive informations throughout their life cycle. We also take reasonable security measures to protect them, regardless of the medium. Procedures are in place to govern consents when personal information is collected.

All personal information collected, used or retained by the group during its business activities and all employees and contractors with access to such sensitive information must comply with this policy.

Collection

We collect only the information that is necessary for our business activities.

Information is collected via online or paper forms, direct interactions with our employees, emails, or electronic transactions,

Usage

The personal information collected will be used exclusively by our employees and/or by our external consultants that need to know about it for customer relationship management, order and payment processing, recruitment and human resources management, payroll and benefits management.

Personal information is not shared with third parties except as required by law or with the express consent of the individual concerned.

Security

We use physical, organizational and technological measures to protect personal information, such as access control to offices and computer systems, administrative measures such as this policy and incident management plan to prevent unauthorized access, as well as security software and regular updates.

Security measures are in place to protect data, including restricted access to sensitive data, encryption of stored information, and secure destruction of data after its retention period.

Consent

We obtain your consent, where required by law, before collecting, using or disclosing your personal information and only when the information is necessary. Marindustrial / DAC clearly indicates the purposes for which this personal and confidential information is collected. Collection can be done through forms, websites, telephone interviews or emails.

A form is provided for this purpose, so that your consent is obtained in a transparent, voluntary and informed manner.

You can withdraw your consent at any time by filling out the form provided for this purpose. We are committed to respecting your decision and to discontinue all use of your decision unless the information is still required by law.

Your rights

You have the right to access your personal information, to correct inaccuracies, to withdraw consent to the use of their data, where applicable, and to request its deletion, subject to legal requirements.

Privacy Officer

This person is responsible for ensuring compliance with the policy at each stage of the personal information lifecycle and ensuring all are aware of their role.

Retention and Destruction of Information

Personal information is retained for a specified period not exceeding that necessary for the purposes for which it was collected, unless a law requires a longer retention.

Once the lifespan has been reached, Marindustrial / DAC will proceed to destroy the personal information. Computer files will be destroyed from servers, software or workstations and paper documents will be shredded.

The Privacy Officer ensures that the retention schedule is followed.

Reporting and Complaints

You are encouraged to report any incidents of breach of confidentiality or non-compliance with this policy to the Privacy Officer.

If you wish to make a formal complaint about the management of personal information, please also contact the Privacy Officer.

A procedure exists for these requests. A response will be given within 30 days.
